No time to waste! Plan and relocate 900 health staff between 15 buildings and across 7 sites within 3 months!
the opportunity
Puzzle was engaged to quickly develop and implement a relocation strategy to move a series of nursing, consultant and administrative departments across multiple buildings and sites to enable redevelopment construction.
This required an adaptive, agile approach as the requirements, move windows and operational readiness activities needed to dovetail with a constantly changing operational environment. Fit-out works were to be undertaken ahead and during each transition, meaning effective coordination between the fit-out contractor and Puzzle was vital and a scope of works, market review and recommendation to appoint a relocation vendor was also required.
Given the medical nature of the organisation, it was imperative that the hospital’s BAU operations were maintained during the moves.
our approach
Planning, planning, planning and yet more planning. With the tight timeframe and complex nature of the transition it was critical that the plan ensured moves went smoothly. Puzzle deployed our tried and trusted approach ensuring all factors were understood, working closely with the health and construction teams. We developed and iterated a comprehensive plan that included:
-
Detailed move sequence + daily run sheets, planned down to the work-point
-
Plans for 9 move phases, across 7 sites and 15 buildings
-
Integrating planned moves with the fit-out program
-
Providing guidance and support to the health team for move readiness information and activities
-
Developing a full scope of works, onboarding and close on-site coordination of the removalist team
-
Post move support and confirmation that all services were back online post move
the results
Approximately 900 staff and 30 departments were relocated over 4 weeks with daily changes accommodated.
This project was successfully managed by a multi-disciplinary Puzzle team across the country to enable key oversight, on the ground management and live re-planning in parallel.
Combining our extensive experience in critical operational environments, change management, public sector, human factors, and logistics allowed our team to delight the hospital project team and achieve:
-
No operational downtime
-
Accurate relocation of all assets and equipment
-
Completion of all moves to plan enabling redevelopment of the vacated buildings on schedule
